# Summarize a Word Document

## How it works

1. **Import the .docx** — Drop it on the box. Paragraphs and tables come in; comments, footnotes and headers stay out.
2. **Keep the part you need** — Use the document's headings to cut it down to the section or sections you want summarized.
3. **Pick a style** — Short is free. Medium, Long, Bullets and Key Points are PRO styles.
4. **Paste the summary where it belongs** — At the top of the document as an executive summary, in an email, or in your notes.

## Summarizing in Word, and summarizing without it

If your Microsoft 365 plan includes Copilot, Word can summarize a document in place. Plenty of people do not have that, or have it at work but not on the laptop the document is on. Importing the .docx here needs no Microsoft account or subscription: the file is unpacked in your browser, its text appears in the editor, and you choose exactly what gets summarized. It also suits documents you received rather than wrote, where you want a summary next to the file, not inside it.

## Comments and tracked changes: what gets summarized

The summary is built from the body of the document as it currently reads. Tracked changes are treated as accepted, so a deleted paragraph is not summarized and an inserted one is. Comments are left out entirely. That is usually right, but notice the consequence: if the real substance of a document is in its comment thread, as with a reviewed draft or a contract under negotiation, the summary will not reflect that discussion. Footnotes, endnotes, headers and footers are also left out.

## Use the Navigation pane to summarize section by section

Long documents summarize better in parts. In Word, open View, then Navigation Pane, to see the headings as an outline; that is your map of where to cut. Import the file, delete everything except one section, summarize it and repeat. Each run covers 1,000 words in a free account's first month and 300 after that, and Starter 1,200, Pro 2,500, Ultra 6,000 on paid plans. For an overview of the whole document, paste the section summaries together and summarize once more.

## Writing an executive summary for your own document

An executive summary is the most common reason to summarize a document you wrote. Summarize the full text with Medium or Key Points, then edit the result rather than publishing it as-is: lead with the decision or recommendation, cut anything that restates the title, and make sure every number in the summary matches the body exactly. A summary of your own report should sound like you, so use it as a draft. And if it misses the point you think matters most, that is useful feedback about the report.

## Meeting notes, policies, theses: same tool, different settings

The right style depends on what the document is for. Meeting notes want Key Points, the decisions and actions and nothing else. A policy or handbook is easiest to use as Bullets, so people can find their situation. A report for someone senior wants a Medium paragraph that explains the reasoning, and a thesis chapter you are revising benefits from Long, because a short summary loses the argument's steps. ## Privacy for work documents

The .docx never leaves your device. When you run a summary, the text in the editor is sent to produce it, is not used to train AI models, and is saved to your account history, where you can delete it. If a document is confidential, delete names, figures and client details from the editor first; a summary of the structure and arguments is often enough. And check your employer's policy on outside AI tools before you summarize internal documents.
